what you expected, and what happened instead. A screenshot helps enormously.
Getting started
Thera works best in this order — each step makes the next one smarter:
Build your Digital Twin. Under Digital Twin, describe your company: NAICS
codes, capabilities, certifications, service area, and capacity. Every score, briefing, and draft is
computed against this profile — a sharper profile means sharper intelligence. Doing data, IT, or other
location-independent work? Check Nationwide.
Review your ranked opportunities.Opportunities shows open federal notices
scored against your profile. Every score is explainable — open a row and “Why this score” shows exactly
which factors drove it. Disagree? Record an analyst override with your reasoning; the learning engine
calibrates future scores from it.
Generate a briefing. On an opportunity page, generate the AI briefing for an executive
summary, risks, and recommended actions — then push those actions straight to a workspace checklist.
Pursue and work the bid. Hitting Pursue creates a workspace: capture checklist,
market pricing range from comparable historic awards, teaming suggestions from your partner directory, and
the AI bid package — seven proposal sections drafted from the notice and your profile. Review, edit, and
approve each section, then export to Word or Markdown.
Submit it yourself — always. Federal rules require an authorized signature, so the
final step is deliberately human: the workspace links you to the official notice on SAM.gov with the
submission instructions. After the award decision, mark Won or Lost — outcomes train the learning engine
for your line of work.
Frequently asked questions
Why don’t discovered prospects show contact emails or phone numbers?
Prospect discovery is built from public federal data, and public data is thin on people: USAspending.gov
publishes award history but no contact details, and SAM.gov’s public tier shares registration facts —
name, location, certifications, and often a company website (which Thera shows as a link
when available) — but not personal emails or phone numbers. That’s normal, not a bug. Two practical paths:
use the website link to reach the company directly, and watch for “network” badged
prospects — those are verified Thera members who published their listing with real contact
information. Your own listing (Partners → Thera network) works the same way in reverse.
Where do the scores come from? Can I trust them?
Scores are deterministic math over your Digital Twin and the notice — capability fit, NAICS match,
set-aside eligibility, geography, capacity, and contract-size fit against market data — plus calibration
learned from your own overrides and outcomes. Every factor is shown with its weight and rationale under
“Why this score.” Treat them as triage, not truth: they tell you where to look first, and you make the
call. (See our Terms on the advisory nature of all outputs.)
Why is a good-looking opportunity capped at “Monitor”?
Because the notice is set aside for a program your Digital Twin doesn’t list a certification for, and
you can’t win it as prime at any score. Thera models SDVOSB, VOSB, 8(a), HUBZone, WOSB, and
small-business set-asides, and says which one is blocking. It stays visible rather than disappearing
because it’s still a teaming or subcontracting target. Two things worth checking: if you do
hold the certification, add it under Digital Twin → Certifications and the cap lifts
immediately; and if the notice uses a program we don’t model, Thera won’t cap it at all — it will tell
you to confirm eligibility on SAM.gov yourself.
What are the “sources sought” and “pre-solicitation” badges?
Pre-award notices. There’s no contract to bid yet: a sources sought is market research,
and a pre-solicitation is advance notice that a solicitation is coming. They’re worth a
short capability response rather than a full proposal — that’s how you get on the contracting officer’s
radar and, sometimes, influence the requirement before it’s written. Thera surfaces them alongside open
solicitations because by the time one posts, most of the capture window has already closed.
The AI drafts say “template drafts” — why?
Full AI drafting requires the Claude API to be configured on your deployment. When it isn’t, Thera falls
back to structured templates so you can keep working. If you see this on the hosted service, tell us —
that’s our bug to fix.
Why does a notice say its description can’t load right now?
Full notice text comes from SAM.gov, which enforces a shared daily quota. When the quota is exhausted,
Thera pauses description fetches and resumes automatically — the “View on SAM.gov” link always works in
the meantime. The same applies to certification enrichment on prospects.
An opportunity disappeared from my list. Where did it go?
The Opportunities list shows open notices only — when a response deadline passes, the notice drops out.
Agencies also amend notices; Thera tracks amendments on Mission Control (“Amended notices”), including
reposts under a new notice ID.
How does the 14-day trial work? What happens when it ends?
The trial gives you every feature with one company profile, no card required. Every SAM.gov notice is
scored and explained exactly as it is on a paid plan — the one limit is that you can run
three bid workspaces and 30 AI generations across the whole trial. When
it ends, access pauses but nothing is deleted —
subscribing ($200/mo, plus $100/mo per additional company profile) restores your workspace exactly as you
left it. Cancel anytime, effective at the end of the billing period.
I’ve hit “3 of 3 workspaces” or “30 of 30 AI generations” — what now?
Those are the trial’s two limits, and both are totals for the whole trial rather than
concurrent ones — closing or deleting a workspace doesn’t give the slot back, so there’s no reason to
mark a live deal Lost hoping to free one. Subscribing removes both limits. Nothing you’ve already
started is touched: existing workspaces stay fully editable, and briefings, drafts, and .docx exports
you’ve already produced stay right where they are.
Opportunity scoring is never capped. Every SAM.gov notice keeps being synced, scored,
and explained with its full factor breakdown, at the cap and after it — that part of Thera works
identically on a trial and on a paid plan.
Can I run two companies in one account?
Yes — that’s a core design. Each company gets its own Digital Twin, scores, and pipeline; you switch
between them in the sidebar. Additional company profiles are $100/mo each, added under Billing.
Who can see my data? Do you train AI on it?
Your organization’s data is isolated to your organization — other customers can never see your pipeline,
profiles, or drafts. The one exception you control: publishing a network listing shares that listing with
other customers. AI drafting sends the relevant content to Anthropic’s commercial API, which does not
train models on it. Details in the Privacy Policy.
How do I change my password?
Billing & account → “Change password.” It signs out all sessions everywhere. If you’re locked out
entirely, email support@athenadatalabs.com from your
account email and we’ll verify and reset you manually.
How do I export or delete my data?
Bid packages export directly from any workspace (Word or Markdown). For a full organization export or
account deletion, email info@athenadatalabs.com from the
account email; we respond within 30 days (usually much faster).
Troubleshooting
Can’t sign in: passwords are case-sensitive; after a password change all old sessions
are revoked by design. Still stuck → support@athenadatalabs.com.
“Sync failed” on Mission Control: usually a temporary data-source outage. Thera also
rate-limits syncs to protect the shared SAM.gov quota — if a sync ran in the last few minutes, you’ll get
that recent run’s results. Try again shortly.
A page looks stale: Thera recalculates scores on every view, so a hard refresh
(Cmd/Ctrl+Shift+R) resolves most display oddities. If one persists, screenshot it and send it in.
Numbers look off: market ranges come from comparable historic awards and are advisory.
If something looks genuinely wrong (not just surprising), we want to know.
Found a security issue? Email
support@athenadatalabs.com with “SECURITY”
in the subject line. Please don’t test against other customers’ data — describe the issue and we’ll take it
from there, fast.
Service expectations
Support replies within one business day; security reports are prioritized same-day.
Planned maintenance is announced in advance by email when it affects availability.
Government data sources (SAM.gov, USAspending.gov) have their own outages and quotas; Thera degrades
gracefully and recovers automatically when they do.
